How to onboard employees with digital business cards

· 2 min read

Onboarding is where printed cards fail twice. A new starter waits weeks for a box, and a leaver keeps handing out a card nobody can recall. Here is a rollout that avoids both.

1. Set the brand before you add anyone

Upload the logo, set the colours and the type, and pick a template. Everything you add afterwards inherits it, so you are not correcting fifty cards later.

The important part is that only admins can change this. Employees request a change rather than editing their own card, which is what keeps a roster of two hundred looking like one company rather than two hundred.

2. Import the roster in one file

Export your people list to CSV or Excel with a name, a work email and a job title. Upload it, read the preview, and import. Problems are reported row by row — a single malformed phone number does not fail the file.

For a new starter after the initial rollout, adding one person is the same form without the spreadsheet.

3. Publish on day one

Publishing sends the new starter one email with their card and how to share it. There is no app to install at either end.

4. Keep it current without a reprint

A promotion is an edit. The card updates everywhere it has already been shared, because there is one record rather than copies in circulation.

If an employee notices something wrong, they submit a change request and you approve it, edit it first, or decline it with a reason. Every decision is recorded against your name.

5. Revoke on the last day

Deactivating someone stops their link resolving immediately, frees the seat, and stops the charge for them from that moment. There is no box of cards still in circulation, because there was never a box.

A note on data

If a former employee asks you to delete what you hold, that is a request you can action rather than a conversation with support — export and erasure are built in, and erasure actually removes or irreversibly anonymises the record rather than hiding it.

Where to look next

The admin features page covers the roster and the change-request inbox in more detail, and pricing shows what each plan includes.
